While Capex Planner establishes prioritization and funding governance for a collection of investments, the Capex Request attempts to manage the life cycle of a single investment from ideation through approval.

Any investment starts out as an idea and evolves into a business case where detailed estimates are captured (potentially from a variety of SMEs) and evaluated for merits. Upon determining the feasibility of the business case, it goes through a series of approvals that is based on factors such as investment type, spend threshold, ownership, sponsorship, and location.

Using the Capex Request module, you can either enter estimates in a currency of your choice or let the system auto-compute the estimates based on the unit rate and quantity entered.

A rate card is a catalog enumerating the unit price of products and/or services that a provider can sell and a consumer can buy. Basically, it is a price list of raw materials, finished goods, capital equipment, temporary personnel, and other professional services utilized in business undertakings and operations. Through rate cards, you can dynamically drive the upticks in unit rates and have the system automatically calculate the estimates at a fraction of a second!

The system can be setup to automatically align your financials to your general ledger accounts based on factors such as cost pool (capex versus opex) and cost category (e.g., real estate, hardware, software, and labor).

The highlight of the solution is that it can be configured to automatically populate depreciation method, useful life, and in-service period based on type of capital spend. The automatic calculation of depreciation and amortization schedules ensures that every business case’s balance sheet representation is correct the first time and every time.

Automatically Generate Financial Statements & Returns

Inpensa Capex Request module is packaged with a built-in financial model that can automatically prepare financial statements such as cash flows, income statement, and EBITDA.  For example, the system is preconfigured to compute the following:

  • Consolidated Financials such as TCO (total cost of ownership)
  • Financial Returns such as ROI and Payback Period
  • Cash Flow Statements – Project Cash Flow, Operational Cash Flow, and Cumulative Cash Flow
  • Depreciation & Amortization Schedule, Income Statement, and EBITDA
  • Discount Rate-based Calculations – NPV, IRR, and Discounted Cash Flow
  • Tax Calculations – NEAT (Net Earnings After Tax)

Business Case Scorecard

You can objectively evaluate the individual merits of your business cases using the built-in scorecard. The system offers a configurable question bank where you can set up your own questions and multiple-choice answers for various evaluation criteria. The criteria can be weighted and marks against multiple-choice answers can be overriden to meet your business needs.

The system expresses the merits of a business case in terms of strategic value, ability to execute, and priority. While strategic value indicates the potential benefit the business case intends to bring to the enterprise (upon execution), ability to execute specifies the enterprise’s ability to respond to constraints, risks, and other challenges associated with the execution. Both the strategic value and ability to execute are quantified on a percentage scale based on the underlying criteria containing multiple-choice questions to be answered by the evaluator.

Where strategic value and ability to execute are points given by the evaluator, priority is a grade (rating) that is computed automatically by logically compartmentalizing the strategic value and ability to execute scores into 4 quadrants as shown in the adjacent diagram.

Each business case starts out as ‘Not Rated’. Upon scoring the strategic value and ability to execute, the priority is automatically determined. The system allows the calculated priority to be overridden, if required, by privileged users to accommodate business priorities.
